The key to the efficient admission of thousands of guests was check-in technology from Gridaly, which significantly reduced waiting times and streamlined the work of the reception desk. Each participant who registered or bought a ticket received a unique QR code in advance via email. Upon arrival at the venue, it was sufficient to present the code at the reception desk for scanning. The system immediately recorded presence, which eliminated the need for manual name searches on paper lists, prevented errors, and made it impossible to enter twice with the same code. The organizers also knew at any given moment how many people were already at the event site.

Personalized badges printed in a few seconds

Instead of preparing thousands of ready-made badges before the event, which often generates chaos and errors, the focus was on full technology integration with Brother label printers. Immediately after scanning a participant's QR code, the system automatically sent a signal to the printer, which printed a personalized sticker with their name and surname in a few seconds. The staff efficiently applied it to a ready-made badge and handed it to the guest. This solution saved time (the entire process from scanning to handing over the badge took only a moment), eliminated errors (the lack of manual signing meant an aesthetic and professional look without mistakes in names), and built the image (modern on-site printing technology emphasized the innovative character of the IMPACT conference).

Efficient management of side events thanks to the Gridaly system

IMPACT is not only the main conference but also a series of accompanying events, such as an evening party, a run, or a lunch for selected participants. Thanks to Gridaly, organizers could precisely manage the presence of guests at individual activities.
